# Meeting Prep

> Prepare for a client meeting with their profile, public research, latest results, and private notes in one place.

**Meeting Prep**, in the advisor sidebar under **Capabilities**, is where you get ready
for a client conversation: *"Prepare notes for a client meeting; private to your
organisation."* Nothing here is ever visible to the client.

## The layout

<Steps>
  <Step title="Choose a client, see who they are">
    **Clients** is a browse-and-pick panel (the same one the dashboard uses) with
    **Connected**, **Workspaces** and **All** tabs, a search box, and a status badge on
    each client. **Manage clients** jumps to the Clients page, and picking a client sets
    it as the client you're working with across the app while keeping you on Meeting Prep. **New client** opens the same
    [Create New Client](/advisors/adding-clients) wizard used on the Clients page, so you
    can add a client without leaving Meeting Prep. Once you pick one, their **readiness
    profile**, the business details on file, fills the space beside it.
  </Step>

  <Step title="Review what we know">
    Underneath sit the two halves of what is already known. **Company research** is what
    we found publicly about their business, grouped into **About**, **Products &
    services**, **Organisations**, **People**, **Metrics**, **Credentials**, **Digital
    presence**, **Social media**, and **Updates**, with **Data incomplete** and
    **Sources** folded away at the bottom. Its header tells you how current it is:
    **Researched \[date]** with an **Up-to-date** or **Expired** badge, or
    **Researching…** while it runs. A **Researcher confidence** gauge shows *"How certain
    the researcher was of what it recorded, out of 100."* With nothing on file yet you'll
    see **No company research yet**. **Latest Reports** is what has already been generated for them, split across
    **AI Readiness**, **Meeting Prep** and **All** tabs. Each row offers **See report**,
    which opens the report in a new tab, and **See submission details**, which opens what
    it was generated from in a side drawer; **See all reports** takes you to the Reports
    page.
  </Step>

  <Step title="Pick the kind of prep, then write">
    **Prep notes** starts with the type of meeting you are preparing for, because that
    decides what the brief researches. The composition guide beside the field shows what
    each type produces: when to choose it, the brief's mode, and a section-by-section
    depth bar (a full bar runs deep, a short bar stays brief, a struck section is not in
    that brief; hover a bar for its meaning). Then write your note in the field.
  </Step>
</Steps>

## Choosing the prep type

Two types are available today:

| Prep type | Use it when | What the brief gives you |
| ------------------- | --------------------------------------------------------------------------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Initial meeting** | There is no evaluation on file; a first intro, a referral, or a company you have never assessed. | The terrain: what they do, who they sell to, where AI could land, discovery questions, and a way to position the readiness assessment as the next step. |
| **Market sync** | A recurring check-in with a client you already know; quarterly catch-ups, renewals, any meeting where what changed is the agenda. | Sector developments and competitor movements since you last spoke, plus a SWOT built from their profile against those competitors. |

**Evaluation action report** and **Readiness review** appear in the tab strip marked
**Soon**. They are not selectable yet; they arrive with the flows behind them.

## Writing the note

Your note is not filed away and forgotten; it is handed to the brief alongside the
client's profile and the company research. It is the one part that says *why* you are
walking into the room, so be specific about who you are meeting, what you want to find
out, and what a good outcome looks like.

<Note>
  Notes are capped at **100 words**. A live counter sits under the field and **Record
  prep** stays disabled past the limit. The cap is deliberate: past a hundred words a
  note stops being your intent and starts being background the brief has to summarise
  back to you.
</Note>

Beside **Record prep** your firm's remaining prep allowance is stated as you work, for
example **"3 of 15 preps left today."**, so you know what is left before you spend it
rather than after. It is the same number as the one on [Plan &
Usage](/accounts/plan-and-usage).

**Insert template** drops a headed scaffold into the field for the selected prep type.
It never overwrites what you have already typed; into an empty field it fills, and onto
existing text it appends below. Switching prep type never touches your note either, so
you can change your mind mid-sentence.

## Recorded prep

**Recorded prep**, *"Private meeting-prep notes your organisation has recorded."*, lists
every note your firm has saved: the client, the author, the note, and when it was
recorded. It is a shared memory across your firm, anyone in your advisor organisation
can see what was prepared last time.

<Note>
  Meeting Prep works with connected clients and workspaces alike. For a pending client
  you can still select them and prepare, the Latest Reports panel simply shows what exists
  so far. Company research appears only once research has run for that client; there is
  nothing to trigger by hand.
